Privileges
The Privileges section lets you create and manage user groups. Each group controls what users can see and do across the entire Leon application — which sections they can access, which aircraft they can work with, and which features are available to them.

Overview
Every user in Leon belongs to exactly one group. The group determines:
which sections of the application the user can open (and whether they can only view or also edit),
which aircraft the user can see and work on,
a set of behaviour toggles that fine-tune what the user can do.
When a new user account is created, they are automatically assigned to whichever group is marked as the Default Group.
Every time Privileges are changed, Leon displays a notification and the logged-in user must refresh the page for the change to take effect.
Groups List
The main view of the Privileges section is split into two panels.
Left panel — group list
At the top there is a search field ("Search by group name or user…") that filters the list in real time. Below it, all groups are listed alphabetically. Each tile shows:
the group name,
icons indicating how many operators, aircraft, and users the group covers,
a small badge showing the aircraft access mode (all, crew, owned, base, or a specific registration/count).
Clicking any tile opens it in the right panel.
Right panel — group detail
When no group is selected, the panel shows "Please select a group". Once a group is selected, the panel header shows "Group [name]" and five configuration tabs appear below it.
If the operator has access to multiple operators, a dropdown labelled "Operator" appears in the header, letting you switch between operators and configure access for each one independently.
Creating a New Group
Click + new group at the top of the left panel. A new tile labelled "New Group" appears and the right panel opens with an empty form.
Fill in the Group name field (required, must be unique). Optionally use the Copy from dropdown to pre-fill all privilege settings from an existing group — this copies the Details tab settings, Aircraft tab settings, and all Settings tab toggles in one step.
The group is not saved until you click save.
Tab: Details
This tab is where you assign privilege levels for each section of the application.
Group name
The group name can be changed at any time, except for the built-in Default Group and Leon Support groups.
Privilege table
Privileges are split into two sections:
Web App — sections of the Leon web application
Crew App — sections of the Leon mobile app
Each row represents one privilege place (a section or feature of the app). Use the toggle on the right side of each row to set the access level:
Edit — full access, view and modify data.
View — read-only access, can see but not change anything.
Deny — no access, the section is hidden or blocked.
Some places only support one or two levels (for example, sections that cannot be edited, such as Crew Work Schedule, Crew App Checklist, or Reports). The toggle shows only the available options.
The header row above each section contains a quick-set control that applies the same level to all places in that section at once.
Change history
A history icon next to the group name opens a log of all privilege changes made to this group over time.
Tab: Users
This tab shows all users assigned to this group and lets you add or review them.
Click + Add user to reveal an autocomplete search field. Start typing a name or login — matching users appear in a dropdown. Selecting a user assigns them to this group.
A user can only belong to one group at a time. Assigning them here automatically removes them from their previous group.
A history icon shows a log of all user assignment changes for this group.
Tab: Aircraft
This tab controls which aircraft the users in this group can see and work with.
Use the Aircraft list dropdown to choose how aircraft access is determined:
Fixed — users can access only the aircraft explicitly selected in the table below.
Aircraft preferred crew — users can access aircraft where they are listed as preferred crew (managed in Fleet > Crew tab).
Aircraft owned — users can access aircraft they own (owners defined in Fleet > Sales tab).
User base aircraft — users can access all aircraft at their operator base.
When Fixed is selected, use the checkboxes to select which aircraft tails this group can access. Aircraft marked as (deleted) or (not used) are shown but displayed as inactive.
The Not Assigned / Virtual Aircraft checkbox controls whether users in this group can access flights that have no real aircraft assigned (placeholder or virtual entries).
Once a new aircraft is added to Leon, it will automatically become visible to groups that have all tails selected. Groups with specific tails selected will not automatically gain access to the new tail.
A history icon shows a log of all aircraft access changes for this group.
Tab: Settings
This tab contains on/off switches that adjust specific behaviours for users in this group. For the full list with descriptions, see Group Settings Reference below.
Settings cannot be changed for sub-operator groups.
Tab: Manuals
This tab lets you attach documentation files (for example SOPs or training materials) to the group. Files are uploaded and stored securely.
This tab becomes available only after the group has been saved for the first time.
Saving and Deleting
Saving changes
Click save at the bottom of the right panel. A confirmation dialog — "Do you want to save changes?" — lists exactly what has changed. Review the summary and click Save to confirm, or Cancel to go back.
If you navigate away with unsaved changes, Leon asks: "You have unsaved changes. Discard?"
"Name required!" — the group name field is empty.
"Invalid group name. This name already exists for another group." — the name is already in use.
Deleting a group
Click delete group at the bottom of the right panel. A group cannot be deleted if:
it has users assigned ("A role with assigned users cannot be deleted."),
it is used in Report Wizard reports ("Role cannot be deleted: Role is used in Report Wizard reports.").
The Default Group and Leon Support group do not show the delete button.
Privilege Places — Web App
Administration
Admin – System Administrator — Full access to all sections of the Admin panel — user management, groups, integrations, billing, API keys, email templates, and all system-wide configuration.
Admin – Operational Administrator
Limited Admin panel access: General Settings, Fleet, and Crew subsections only. See screenshot for the available sections.
Security — Access to the Security tab in Admin Panel > General Settings — login history, audit logs, and sign-in security settings.
Airports & Geography
Airport Directory — Access to the airport database including ICAO/IATA codes, handling agents, and airport details.
Country Database — Access to country information, regulations, and visa/permit requirements.
Custom Airports — Create and manage operator-specific custom airport entries (airfields, helipads).
Crew Management
Crew — Access to Crew Members & Per Diems section. Other Crew sub-sections (Calendar, Timeline, Duties, etc.) are controlled separately.
Crew Duty Roster — Access to Duties and Crew Activities sections.
Crew Travel — Crew positioning arrangements and accommodation management.
Crew Qualification — Crew qualification records and rating management.
Crew Endorsements — Access to Crew Certificates in the Admin panel and Crew > Certificates Configuration.
Crew Input Table — Custom crew data entry table.
Crew Work Schedule — Access to Crew Work Schedule. Crew can receive a PDF of this section when the roster is published, if configured in Admin > Duties Setup.
Crew Profile — Edit crew member details in the profile popup (tab CREW of the OPS panel).
Crew Calendar — View and manage the crew planning calendar.
Crew Timeline — View and manage the crew timeline.
Duty Account — Crew duty account management.
Crew Positioning — Crew positioning flight management.
Operations — Schedule Views
Ops — Core flight operations and schedule management. If set to Deny, removes access to OPS completely.
Ops – Import Schedule — Import schedules from Videcom/AeroCRS in the OPS TABLE view.
Ops – Subcharter — View subcharter flights in OPS Calendar & OPS Timeline (must also be enabled in the 3-dot filter).
Ops – Maintenance — Maintenance entries visible in the OPS schedule.
Ops – Simulator — Simulator training sessions in the OPS schedule.
Sched — Flight schedule management in the Sched view. Allows creating schedules, publishing to OPS, importing/exporting SSIM or Excel.
Sched – Fleet Planning — Long-term fleet planning. Aircraft assigned here affect aircraft assignments in OPS.
SSIM — Standard Schedules Information Manual — automatic SSIM message sending (if configured in Admin).
Operations — Flight Tabs
Ops – Aircraft — Aircraft documents tab within a flight.
Ops – Checklist Ops — OPS checklist tab within a flight. Edit allows adding/removing items and changing status.
Ops – Checklist Sales — Sales checklist tab within a flight. Edit allows adding/removing items and changing status.
Ops – Checklist Flight Care — Flight care checklist tab within a flight.
Ops – Services — Ground services tab — available for Flight Support type operators only.
Ops – Crew — Crew assignment tab within a flight. Edit allows adding/removing crew.

Positioning — Positioning flights in the schedule.

Ops – Load Distribution — View and edit load point data for weight and balance calculations on flights.

MX – Fleet — Fleet maintenance tracking. Edit enables setting up CAMO data.
MX – Fleet Documents — Maintenance documentation and records. Edit allows adding details and uploading scans; View allows setting up email notifications only.
MX – Scheduled Maintenance — Scheduled maintenance planning. Edit allows adding aircraft maintenance and CAMO limits.
MX – HIL — Hold Items List (open maintenance issues). Edit allows adding new HIL activities.
Handling & Fuel
Handling Requests — Access to sending handling request emails from the OPS checklist. Deny disables sending emails.
Home Base Handling Request — Access to Home Base Handling Requests in the OPS panel.
Refueling — Access to the Refueling panel. Edit allows adding new refuelling records and invoices.
Fuel Prices — Fuel pricing database management.
Contacts & Phonebook
Phonebook — Access to Phonebook on the menu bar.
New Phonebook – Documents — Documents tab within a phonebook contact (Passport, Visa, National ID). Edit allows adding/editing documents.
New Phonebook – Characteristics — Characteristics/labels tab within a phonebook contact.
New Phonebook – Flights — Flight history tab within a phonebook contact.
New Phonebook – Invoices — Invoicing tab within a phonebook contact (including PDF scans).
Phonebook – Export — Export contacts from the phonebook to Excel.
Contact Mask — When active, the user can unmask contacts marked as private. Deny hides the unmask option; the user sees the icon with the message "You don't have permissions to unmask passports."
Contact Mask Search — Search within masked contact records.
Sales & Commercial
Sales — Access to the SALES section on the menu bar.
Requests/Quotes/Bookings — Access to Requests/Quotes & Bookings. Edit allows adding quotes and sending sales documents. Note: requires all aircraft to be selected in the Aircraft tab; partial selection blocks access.
Sales – Fees — Fee management within the sales module. Edit allows defining fees per aircraft & airport.
Sales – Ferry Flights — Ferry flight configuration within sales.
Sales – Quote Invoice — Deny disables the INVOICE button, Documents > Invoices, and Send Email > Invoice on the Quote.
Sales – OPS & Crew Tab — OPS & CREW tab in the quote editing section.
Subcharter's Services Requests — Edit allows right-clicking subcharter flights (in OPS Calendar or OPS Timeline) to open multi-leg requests.
Export PAX List to Excel — Export the passenger list for a flight to Excel.
Reporting & Analytics
Report Wizard — Create, schedule, and manage custom reports.
Reports – Crew — Crew reports: Block Time, Currency, Roster Robustness, FTL Violations, and more.
Reports – Custom — Custom operator-defined reports made by Leon on request.
Reports – Flight Statistics — Flight statistics: Aircraft Flights, Cancelled Flights, Top Destinations, and more.
Reports – Leon — Outbox report showing all emails sent from Leon by category (Duties Notifications, MVT Messages, etc.).
Reports – MX — Maintenance reports: Average Oil Consumption, AMOS report, and more.
Reports – Ops — Operational reports: Documents, Airport Categories, Fuel Consumption, Handling Agents, and more.
Reports – Sales — Sales reports: Aircraft Availability, Top 100 Routes, and more.
Reports – Authorities — Regulatory reports: CO2, Cosmic Radiation, International PAX traffic, and more.
Other
Own Profile — Access to the user's own profile page. Edit allows adding/removing personal details.
PAX Profile — Edit passenger information in the PAX profile popup (accessible from the PAX tab in OPS).
Owner Board — Owner Board accessible from the menu bar.
Owner App — Owner App access (requires the user to be set as aircraft owner in Admin > Fleet > Sales tab, and linked as a Client in Phonebook with Account field filled in).
Pilot View — Access to My Schedule, My Logbook, and My Logbook export in the CREW panel.
Privilege Places — Crew App
Schedule & Activities
Schedule — My Schedule view in the Crew App. Deny removes access to the section.
Activity Details — Activity details within the Crew App. Edit enables editing of crew reporting times.
MVT/FW — Flight movement and Flight Watch reporting in the Crew App. Access to the tab — Edit enables filling in FW data.
Positionings — View and edit repositioning flights in the Crew App.
Journey Log & Checklists
JL — Journey Log entries from the Crew App. Access to the tab — Edit allows filling in JL data and attaching files.
Schedule – Checklist OPS — OPS checklist access in the Crew App.
Schedule – Checklist SALES — Sales checklist access in the Crew App.
Schedule – Checklist Flight Care — Flight care checklist — designed for Customer Care teams.
Passengers
PAX — Passenger management in the Crew App. Access to the tab (includes passport details). Deny disables the PAX panel.
PAX Boarding — Boarding procedures in the Crew App. Edit makes the boarding button available.
Crew Information
Crew Tab — Crew information tab in the SCHEDULE section of the Crew App. Deny removes this tab but keeps access in MY SCHEDULE.
Own Certificates — View own certificates and endorsements in the Crew App.
Currency — Crew currency and recency information. Deny removes this panel from the app.
Own Experience — Personal flight experience log.
FTL — Flight Time Limitations in the Crew App. Edit allows changing reporting times in the FTL tab.
Duty & Administration
Duty Requests — Submit and manage duty requests. Access to the tab in the Crew App. Deny disables duty requesting.
Duty Accounts — Duty hour account tracking. Access to the tab — available if configured in Admin > Duties Setup.
Duty Details — Details for duties other than flights, SIMs, or positionings (e.g. Office, Standby).
Hotel — Hotel reservation management in the Crew App.
Other
Simulator — Simulator sessions in the Crew App. Deny prevents editing SIM details.
Customer — Customer name/surname visibility in flight details. Deny hides customer information.
Group Settings Reference
The following toggles are available in the Settings tab. Each one is either enabled or disabled for the group.
Show not confirmed flights — Unconfirmed flights (Options and Opportunities) are visible in OPS Table, Calendar, Timeline, and Crew App views.
Allow editing of closed Journey Logs — Users can edit Journey Log entries that have already been closed and finalised, in OPS views and the Crew App.
Can see only crews assigned directly to the aircraft on Crew Calendar and Crew Timeline — Only crews assigned to aircraft the user has access to are visible in Crew Calendar and Crew Timeline.
Users can only see the office they are assigned to — For operators with multiple Offices/Bases — users only see activities within their own Base/Office. Does not affect the Phonebook or User List. Cannot be enabled for groups covering multiple operators.
Can modify flight's AOC — Users can change the Air Operator Certificate (AOC) on a flight. Requires flight editing privilege. If unchecked, the AOC field in OPS > FLIGHT tab is locked.
Show drafts in Crew Calendar — Draft crew assignments are visible on the Crew Calendar.
Show sales-related information in OPS — Sales-related columns and data are visible in OPS sections. When disabled, commercial information is hidden.
Can open invoices — Users can preview and edit closed sales invoices in the Requests/Quotes section.
Can print OPS documents — Users can preview and print OPS documents in OPS sections and the Crew App.
Can print sales documents — Users can preview and print Sales documents in OPS sections and the Crew App.
Show crew contact details in Crew App → My Schedule — Other crew members' contact information is visible in the Crew tab in My Schedule (mobile app).
Show "My aircraft schedule" in Crew App → My Schedule — Adds a filter option in My Schedule (mobile app) to display flights of aircraft on which the user is a preferred crew.
Allow creating private reports in RW — Users can create Report Wizard reports visible only to themselves, and view their own previously created private reports.
Disable reporting edit after start — Users cannot modify reporting times after the flight start time has passed.
Hide Airport Codes — Airport codes are hidden from the list on the OPS table.
MX - remove aircraft assignments on flights overlapping MX — Aircraft assignments are automatically removed from flights that overlap with a maintenance entry.
